When the invoice just doesn’t come in…

In the past few months, many companies have likely been asking themselves whether it might not be better to switch over to electronic invoicing – and not just because of available software solutions, the unified ZUGFeRD standard (a new invoicing standard in Germany), or legal requirements. The answer is much simpler: companies’ trust in a centuries-old institution has been damaged. What institution, you ask? The institution of the letter itself.

 

Four Weeks of Uncertainty

The 4-week postal strike ended on July 7th. But despite all statements to the contrary, we’re still reading about its continued impact. We’re still hearing about some shipments arriving late, which is especially bad for companies in Germany that haven’t yet switched over to electronic invoicing. That’s because the rule is that debtors are only obligated to pay an invoice once they receive it.

If you imagine how many millions of invoices are sent through the mail every day – the trend is rising currently, and around 4.8 billion of the estimated 32 billion invoices sent per year reach the recipient electronically – it’s almost impossible to imagine the kind of effects this can have on bookkeeping and liquidity, especially for small and medium-sized companies.

 

Considerable Processing Costs

There’s one thing in particular we can’t forget: companies are still dealing with the effects of the strike, even after it’s over. The yawning emptiness that reigned for weeks in companies’ mailboxes has now been filled with towering piles of incoming invoices that all need to be sorted, processed, approved, and recorded. If you’re using manual processing and can’t add extra personnel, delays are inevitable. Especially when, in some cases, you’re receiving payment reminders even before the actual invoice.

 

Electronic Invoices Don’t Go on Strike

Companies who have already switched over to electronic invoicing can count themselves lucky. Or those who use have automated incoming electronic invoices. Save 40 billion? Nothing easier than that!

In the past, one billion was an unimaginably large sum. While the word has a nice ring to it, the ‘billion’ has become an oft-cited unit in today’s age of globalization, economic crises and bailouts.

Nonetheless, you might rub your eyes in surprise or rummage the reading glasses out of their case when reading the following number and suspecting that it has been misread. For it really is true: the public sector in Europe alone can save EUR 40 billion by switching to electronic invoicing. This has been determined recently by the annual study “Billentis Report”.

 

You can. But you don’t have to yet.

A 40 billion savings potential with a total EU spending budget of 145 billion? Wow. If you had the opportunity to reduce your private spending at one stroke by almost 30 percent, what would you do? Probably you would go into action and finance a luxury holiday with the amount saved. Or finally get that new roof. Or purchase a new car. Or, or, or – there are so many possibilities, but they usually do not seem financially viable.

 

In Germany alone, EUR 6.5 billion potential

By the way, a disproportionate part of savings could be achieved in Germany. As a gauge, the study places as much as 16 percent of the presumed astronomical sum in municipalities. In figures: 6.5 billion euros.

Therefore, it is even more comprehensible to reassess the hesitation regarding e-invoicing. How can you credibly complain about a lack of resources for schools, kindergartens and road infrastructure, if you simultaneously spend money where it is really unnecessary?

 

Waste for lack of time

The authors of Billentis Reports have found that to date only eight per cent of municipalities have switched to electronic invoicing. 90 percent of the municipalities that have not yet converted don’t know what to do with e-invoicing. And more than 70 percent do not want to convert before 2017; often lack of time is listed as the main reason in the field.

Good thing the EU has defined clear rules – administrations will simply have to save and take part in digitalisation by at least 2018.

EASY SOFTWARE signs agreement for the acquisition of partial business from nextevolution AG

EASY SOFTWARE AG (ISIN DE0005634000) yesterday evening signed a purchase and transfer agreement to acquire the operational partial business for integrated SAP process solutions of the Hamburg-based nextevolution AG on the basis of an asset deal. The acquisition of the operational partial business is subject to conditions precedents. The purchase price amounts to EUR 2 million and is subject to adjustments due to the structure of the transaction.

The acquired software suite has a modular structure, extending the SAP system of midsize businesses and groups. Its cross-application platform provides integrated business processes such as personnel, contract and logistics management, or automation for applicant management, order requisitions, or changes to contracts. EASY SOFTWARE AG will also acquire the 28 employees of this division.

During the past financial year 2014, nextevolution AG generated sales of about EUR 4 million in the business division acquired by EASY SOFTWARE AG. The new products create a completely new product range without products overlapping. In addition to continuing the assets as a profitable subdivision of EASY SOFTWARE AG, this acquisition will enable expanding existing partnership alliances through new products and services and developing new partnership alliances.

Real Estate Industry: Ripe for ECM

Those who own property have to cope with considerable paperwork. All the municipal accounts and assessments, insurance and service contracts fill even the thickest file folders. For those who also rent out property, several meters of filing shelves must be added, and additional cost accounting causes endless searching for documents.
